1. Data controller

2. What we process
When you use the free-appraisal form we process:
- The photographs of the piece that you upload.
- The description you provide (material, dimensions, history, notes).
- Your contact details: name and email address, and — if you provide it — a phone number.
- Basic technical logging required to run the form securely (for example the time of submission).
We do not ask for a copy of your identity document for this service.
3. Purpose
We use these data solely to provide you with independent editorial advice on the sensible next step for the piece: for example which information is still needed, which type of specialist would be useful, or which buy-in, appraisal or auction route fits what you have.
4. Legal basis
The legal basis is performance of a contract at your request (Art. 6(1)(b) GDPR): by submitting the form you ask us to provide this free advice. Any subsequent contact based on your explicit agreement (for example a referral to a specialist) relies on consent(Art. 6(1)(a) GDPR), which you can withdraw at any time.
5. Retention
We retain your request and the accompanying photographs for as long as is needed to provide the advice and to handle any follow-up questions carefully. Requests are then archived or deleted under our internal retention policy; you may ask for deletion at any point (see 7).
6. With whom we share data
To provide the advice we may share your request internally with the subject specialists affiliated with Vintage Jewellery (goldsmith and silversmith, gemmologist, watchmaker), who work under the same duty of confidentiality.
We do not sell your data and we do not share them with third parties for marketing purposes. A referral to an external specialist or shop only happens with your explicit agreement. For technical processing (hosting, image storage, email delivery) we use standard processors who process your data only on our instructions.
7. Your rights
You have the right at any time to:
- Access the data we hold on you.
- Correction of inaccurate or incomplete data.
- Deletion of your request, photographs and contact details.
- Withdraw consent given earlier.
- Lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
Email redactie@vintagesieraden.nl and we will handle your request within the statutory period.
8. Security
We take appropriate technical and organisational measures to protect your data. Photographs and messages are transmitted over encrypted connections and are only accessible to the editors and specialists involved. Data are stored within the EU with standard processors.
9. Changes
We may update this statement if the service changes or if the law requires it. The current version is always on this page; material changes are announced separately for open requests where relevant.
